Tips on Wrapping Up Your Campaign
As a Campaign Coordinator, you play an important
role in making sure givers get recognized for their gift in
a timely and efficient manner. Following these simple steps
will save you time and ensure even greater accountability
in pledge processing.
As Pledge Forms Are Turned In
• Check to see if donors have kept the bottom copy for their records and that forms
are signed.
• Be sure the names of any organizations receiving designated funds are spelled out
(no abbreviations).
• Ask employees to attach cash or check gifts to their pledge form.
• Separate forms by method of payment as they arrive (payroll deduction, cash/check,
credit card).
Arrange A Campaign Wrap-Up Meeting With Your Loaned Executive
• Wrapping up the campaign is easy with the help of your Loaned Executive. Consider your
wrap-up meeting a campaign event and set a meeting time for this purpose when you put
together the campaign timeline. Even in a small company, your Loaned Executive can
be a resource.
• If your campaign is longer than two weeks, ask your Loaned Executive to pick up pledge
forms received halfway through the campaign as well as at the end. This allows donors to be
thanked more quickly.
• Please batch forms in groups of no more than 50. This will help your processing and keep
your tabulations more manageable.
HOW TO FILL OUT A CAMPAIGN REPORT SHEET
During Your Wrap-Up Meeting
• Verify your company’s corporate gift and if possible, have the check ready.
• Turn in all funds from special events. For security, ask your company if they can convert any
cash from events into a single check payable to the United Way of Pierce County.
• Verify donation totals with the Loaned Executive and sign all report forms.
